TeamJobs are looking for an experienced Legal Assistant / Secretary to join a well establish law firm based in Bournemouth. This exciting role offers the successful candidate the opportunity to join the companies growing Commercial Property Department to become an integral part of the organisation, providing a high standard of administrative support and client hospitality.

The Salary for this role is between £22,000 to £25,000 per annum DOE

This role involves:

•  Acting as a first point of contact, dealing effectively and efficiently with daily enquiries, ensuring a positive client experience.
• Setting up and maintaining legal files and effectively managing all correspondence.
• Managing the closure and storage of completed files.
• Maintaining all case files to a high standard and in accordance with requirements.
• Coordinating appointments, including all correspondence and logistics.
• Assisting with administrative support of cases as appropriate and under supervision by the fee earner.
• Maintaining effective client relationships. This may include providing quotations and taking instructions for new work, as well as timely communication about progression of existing cases.
• Maintaining good relationships with third parties as relevant to the role, participating in marketing activities as required.

 What we require from you: 

• A good understanding of how to manage a variety of administrative duties
• A high degree of IT literacy, particularly with MS Office and ideally with experience in using electronic case management systems
• Knowledge of property law process or experience in a legal assistant/secretary role
• Previous experience working in a law firm or legal department
• Must have GCSE (or equivalent) Maths and English is a minimum

This role involves:

• Being the point of contact for customers to book in upcoming repair and service works.
• Assisting the coordinator with planning engineer diaries and programme.
• Always providing excellent customer service.
• Developing knowledge and building a rapport about each customer’s business and requirements.
• Creating purchase orders for any plant requirements on site works.
• Assisting in product purchasing for any repair works if needed.
• Daily calls to the engineer teams to discuss todays work and tomorrows upcoming work.
• Receiving and processing incoming engineer worksheets daily.
• Maintaining competent understanding of company’s products, their functions, and alternatives.
• Coordinate, analyse and improve customer service functions to meet company goals.

The successful candidate must have good PC skills, including Microsoft Office & other IT programs. An eye for attention to detail and the ability to problem solve. The ideal candidate must have experience in customer service, good time management and have excellent communication skills; interpersonal, listening, oral & written.

Key Responsibilities

• To work closely with the Customers, Account Holders, and the Customer Services Team
• Management of Porting of numbers between suppliers.
• Maintenance and updating of the Company’s porting tracker system.
• Responsible for resolving customer queries & responding to customer porting information requests.
• Resolving daily service issues, logging faults, and updating tickets.
• Responsible for area code / number stock levels available on the website
• Management of exported numbers, making sure duties surrounding their removal from the platforms are met.
• Dispatching of goods within acceptable time frames.

Person Specification

• Good organisation and attention to detail is
• PC Literate – confident both in Excel, Outlook and Web Applications
• Strong written and verbal communication skills
• Confident and polite manner essential
• Evidence of first class personal organisational capabilities is important

Ideally, the preferred candidate with be extremely self-motivated, can demonstrate a successful field sales background and have a thorough understanding and/or qualification in electro-mechanical engineering.

Key responsibilities include:

• Build and develop relationship with existing client portfolio and introduce and generate brand new business.
